Sending a quote and converting it to a job

Give a customer a written quote before the work starts, and convert it to a booked job when they accept.

Overview

A quote is a priced proposal you send to a customer before committing to the work. When the customer accepts, you can convert it to a job with one click. Accepted quotes can also be converted to invoices directly.


Creating and sending a quote

  1. Go to Quotes in the left sidebar and click "New quote".

  2. Select the client. As with invoices, start typing the client's name.

  3. Add line items. Describe the work, quantity, and price for each item. GST is calculated automatically if your business is registered.

  4. Set an expiry date. Avro defaults to 30 days from today. You can change this.

  5. Add any notes. For example, "This quote is valid for the scope of work described above. Additional findings may be quoted separately."

  6. Save as draft, then click "Send". The quote status changes to "Sent" and a customer link is generated. Send the link to your customer via SMS, email, or message.


What your customer sees

When your customer opens the quote link, they see a clean view of the quote with line items, totals, and your business details. They have two buttons: "Accept" and "Decline". If they decline, they can optionally leave a reason.


Converting an accepted quote to a job

  1. Open the accepted quote. Once a customer accepts, the status shows "Accepted".

  2. Click "Convert to job". A dialog appears where you can set an optional scheduled start date and time.

  3. Confirm. Avro creates a new job linked to this quote and takes you straight to the job detail page. From there you can assign a technician, add notes, and set reminders.


Converting an accepted quote to an invoice

  1. From the accepted quote, click "Convert to invoice".
  2. Avro creates a new draft invoice pre-filled with the quote's line items and links it to the quote.
  3. Review and send the invoice as normal (see Sending an invoice).

Common questions

Can a quote expire automatically? Yes. If the expiry date passes without a response, the quote status changes to "Expired". You can extend it by editing the quote and updating the expiry date, then re-sending.

What if the customer wants to negotiate the price? Create a new (superseding) version of the quote with the revised pricing and send that. The original quote is marked "Superseded" and kept for your records.

Can I accept a quote on the customer's behalf? Yes. From the quote detail page, click the "Accept" action if the customer confirmed verbally or via another channel.

What if I convert a quote to a job but the scope changes? The job and quote are linked for reference, but they're independent records. Edit the job or create a revised invoice as needed.
