Glossary

Plain-English definitions for terms you'll come across in Avro.

Appointment type A category label for the kind of work being done on a job — for example, "Initial Consultation", "Follow-up Visit", or "Quote". Each type gets a colour that appears on the calendar. You manage your appointment types in Settings > Appointment types.

Client A person or organisation you do work for. Every job, invoice, quote, and follow-up message is linked to a client record. "Client" and "customer" are used interchangeably throughout Avro.

Customer portal A separate, customer-facing website where your clients can log in (using a magic-link email) to view their invoices, quotes, job history, and reports. They access it independently — you don't need to do anything to activate it per client.

Draft A record that has been created and saved but not yet sent or finalised. Invoices, quotes, and follow-up messages all start as drafts and can be edited before being sent.

Follow-up rule A rule you configure in Settings > Follow-up rules that tells Avro's AI when to draft a follow-up message for a client. Each rule defines a time window (e.g. "clients whose last visit was 5–7 months ago"), the type of message to write, and the channel (SMS or email).

GST Goods and Services Tax — the Australian 10% consumption tax. Avro adds GST to invoices and quotes automatically if your business is GST-registered. Toggle this in Settings > Firm details.

Job A single service visit — a date, time, location, appointment type, and assigned technician. Jobs are the core unit of work in Avro. They appear on the calendar and in the jobs list.

Magic link A one-time login link sent to an email address that logs the recipient in automatically without a password. Avro uses magic links for customer portal logins and for sharing invoices and quotes.

Plug-in An optional add-on module that extends Avro's functionality. Plug-ins are available in the Plugins section of the sidebar and cost AUD $19/month each (some require Pro). Examples include industry-specific report templates, stock management tools, and third-party integrations.

Pro plan Avro's paid subscription tier at AUD $99/month. Includes unlimited staff seats, advanced features, and the ability to install paid plug-ins. The free plan is limited in seats and features.

Report A structured, customer-facing document attached to a job. Reports use templates with standardised fields, photo upload areas, and sketch tools. Once finalised, they can be shared with customers via a link or downloaded as a PDF.

Stripe Connect The method Avro uses to link your Stripe account so that online card payments from customers flow to your account directly. You connect it in Settings > Payments. Avro does not handle your money — Stripe does.

Technician A user role in Avro with restricted access. Technicians can view and update their own assigned jobs but cannot access invoices, settings, or other staff members' schedules.

Tenant Technical term for a single business account in Avro. Each business that signs up for Avro is a tenant — a fully isolated account with its own clients, jobs, settings, and data. You'll rarely see this word in the product itself, but it may appear in support documentation.

Webhook An automatic notification sent from one service to another when something happens. Avro uses webhooks to receive payment confirmations from Stripe — when a customer pays online, Stripe sends a webhook to Avro and Avro marks the invoice as paid. You don't need to manage webhooks; they run automatically in the background.
